# Syncing Timesheets with Xero

#### **Step 1: Select Payroll Employee**

1. Navigate to **Time Management > Time Clock**.
2. Click on **Sync Timesheets**, then select **Sync with Xero**.
3. A new screen will appear where you can **select the payroll employee**.
4. Use the search bar to find the employee or create a new payroll record.

📌 *Ensure that the employee exists in both Managewise and Xero to avoid mismatches.*

#### **Step 2: Confirm Pay Run Calendar**

1. After selecting an employee, proceed to the **Confirm Pay Run Calendar** step.
2. This section will display payroll details such as:
   * **Payroll Calendar Name** (e.g., Fortnightly)
   * **Period Start Date** and **Period End Date**
   * **Calendar Type** (e.g., Weekly, Fortnightly)
   * **Payment Date**
3. The **pay run calendar settings can be modified within Xero**, ensuring alignment with your payroll cycle.

#### **Step 3: Assign an Earning Rate**

1. Select the **approved timesheets** to sync.
2. Use the **Earning Rate dropdown** to assign the correct wage type:
   * **Regular Hours**
   * **Overtime**
   * **Bonus**
   * **Statutory Sick Pay**
   * **Statutory Maternity/Paternity Pay**
   * **Other custom earning rates**
3. Once the correct earning rate is assigned, click **Sync All**.

📌 *You must assign an earning rate before syncing, or the timesheet data won't be processed in Xero.*

#### **Step 4: Confirm Sync**

1. A confirmation popup will appear asking, *"Are you sure you want to sync timesheets with Xero?"*
2. Click **Sync All** to finalize the process.
3. The approved timesheets will now be **automatically created and approved in Xero**.

📌 *Once synced, the timesheets cannot be modified in Managewise. All changes must be made in Xero.*
